Productivity Digital Tools
As in every business, time is money so coaches can benefit from:
- Online Appointment Scheduling – allows you to create a system that gives someone other than yourself access to your calendar. You can save time by allowing others to select slots from your calendar and see at a glance what meetings you have coming up. If you have a WordPress website, Google calendars can be added through a plug in a WordPress Google calendar plugins to implement a working and fully functional calendar application on your website.
- Time tracking software– a tool for mapping out where time is spent, by whom. Such analysis when properly utilized is great for accountability, process improvement, and productivity. Examples are Clockify, Get Harvest (also facilitates invoicing). This has a number of benefits including making project time estimates more accurate and helping boost productivity. There are many time tracking tools available, including desktop applications, online tools, and even services integrated into larger project management or bookkeeping software.
- Put all coaching tools, worksheets and resources online by creating and editing web-based documents, spreadsheets, and presentations. Microsoft Office Online, Google docs (see Compendium of Tools), Zoho Office or other online applications could allow you to create real time documents to be accessed or shared as required.
- Use project management and task management tools to stay on top of your daily business responsibilities. There are many options in this regard – Asana, Monday, Basecamp.
- Create a digital filing system to make it easier to sort, save, share and find documents. Again, there are many options including Dropbox (see Compendium of Tools) Box, Google Drive, Microsoft OneDrive and others.
- Develop an efficient email managementprocess that makes it easier to stay on top of email messages, consider learning and using the full functionality of Microsoft Outlook or other such service. Using email management apps can also have a powerful impact. SaneBox is a service that works inside your existing email service to automatically sort incoming messages (among other things). Another example is Boomerang, which adds new features and tools to Gmail and Outlook that help improve your writing and help you remember when to follow-up on messages.
- Spend some time exploring open source applications to replace some of the more costly “name brand” alternatives
